If you run an event service business in San Antonio…catering, DJ services, rentals, planning, photography…November is your last real chance to book December parties.
Corporate holiday parties. Family gatherings. New Year’s Eve celebrations. Office potlucks that got upgraded to a full-service event. The demand is there. But the window to book is closing fast.
Email marketing is the fastest way to reach people who already know and trust you.
Email #1: “It’s Not Too Late (But Almost)”
Send this the third week of November:
Subject line: “December dates are disappearing…have you booked your holiday party yet?”
Body: Be direct. Tell them what dates you still have available. List your holiday packages with clear pricing. Include 2-3 photos from holiday events you’ve done in the past…think festive tables, happy guests, beautiful venues.
CTA: “Reply to this email or call [number] to lock in your date. No deposit needed until [date].”
Making it easy to say yes without an immediate financial commitment increases response rates. This same low-barrier approach drove results in our guide to social media for event services during holiday parties.
Email #2: “Look What We Did Last Year”
Send this one week after the first:
Subject line: “How we made [Client Name]’s holiday party unforgettable”
Share a case study from a past holiday event. Include:
- The challenge: what the client wanted, their budget, any constraints
- What you delivered: the setup, the food, the entertainment, the little details
- The result: photos, a testimonial, the wow factor
This email isn’t about selling directly. It’s about showing what’s possible. When a reader sees a beautiful corporate holiday party and imagines their company’s name on the marquee, they reach out.
Email #3: Small Business Saturday Tie-In
November 29 is Small Business Saturday. Send an email that day:
Subject line: “This Small Business Saturday, let a small business plan your holiday party”
Lean into the local angle. You’re not a faceless event company…you’re a San Antonio business that supports other San Antonio businesses. Mention:
- How many local events you’ve served
- Your partnerships with local venues, florists, and caterers
- Why hiring local matters (money stays in the community, personalized service, accountability)
Offer a Small Business Saturday exclusive…10% off any December booking made today.
Email #4: The Final Push
First week of December:
Subject line: “Last chance…3 December dates still available”
Short and urgent. List the specific dates. No fluff.
“We have December 12, 19, and 20 still open for holiday events. These will fill this week. Reply or call to reserve.”
Scarcity is real at this point…you probably do only have a few dates left. Honesty and urgency work together. For more on email strategy for event businesses, our guide to email marketing for fall event bookings covers the sequence that fills calendars earlier in the year. And don’t forget that your website needs to convert those inquiries too.
Four emails over three weeks. That’s all it takes to fill your December calendar. The key is starting now, not waiting until the panic sets in. For help building email campaigns, explore our digital marketing products.
